What it does

The paperwork you shouldn't have to build yourself.

Intake

Share one link. Families describe their situation and upload documents. You review each one in your intake queue.

Caseload

Every family, its status and next steps in one place, with a dated log for each case.

Document review

Run a Document Health Check on IEPs and evaluations. Compare an FIE to an IEP side by side.

A thinking partner

A strategy workspace that remembers each case: the timeline, what's still open, what to try next. It uses federal IDEA rules everywhere and adds state rules where we have them.

Case timeline

Export a dated timeline you can bring to a meeting.

Your name on it

Families see your agency name and contact details in their portal, their emails and their printed documents.

A parent app that teaches

Parents get rights guides, meeting prep, goal tracking and IEP translation, so you don't explain the basics every time.

Providers and privacy

Families can connect their clinicians, who upload reports to the family's binder. Your families and records are separate from every other agency's.

Sponsor your families

Give your families Prepared Pro with one code.

Share your join code or signup link. A family that signs up with it is linked to your practice and gets Prepared Pro at no cost to them, with no payment screen.

No payment step for families

Families who join with your code skip the paywall. They get Prepared Pro right away and see your practice name.

Credits tracked to your practice

A sponsored family's credit use counts toward your practice's included credits each month. Beyond that it is billed at cost to your card on file. Your dashboard shows your sponsored families and this month's usage.

A new code whenever you want

Generate a new join code any time. Families who are already linked stay linked.

If your license ends

Sponsored families return to the free plan. Their records stay in their own accounts.

A week in practice

What a week could look like.

Monday

A family uses your intake link.

Their answers and documents land in your queue, and you see them when you sit down.

Tuesday

You open the IEP.

You run the Health Check and compare the evaluation to the plan, side by side.

Wednesday

You think it through.

The thinking partner already knows the timeline and what's still open, so you start from the facts.

Thursday

The meeting.

The family prepared with the parent app, so you both walk in knowing the plan.

Friday

You log what happened.

The dated timeline is there when you need it, ready to export.

Pricing and setup

Pick the size of your practice.

FAQ

Common questions.

What does CasePilot360 do for my practice?

It gives you intake, caseload management, document review tools and a thinking partner in one place, and your families get a portal under your name.

What do my families get?

The parent app under your practice's name: rights guides, IEP translation, meeting prep, goal tracking and a document binder.

How do families join my practice?

Share your join code or intake link. A family that signs up with your code is linked to your practice, sees your name and gets Prepared Pro at no cost to them.

How much does it cost?

Solo is $89 a month, Practice is $199 a month and Agency is $349 a month, billed by card, with 20% off when you pay yearly. Each plan includes a set number of people and active cases, and credits every month ($25, $50 and $100). You can cancel anytime and keep access to the end of the period you paid for.

Who pays for the credits my sponsored families use?

It counts toward your practice's credits. Your plan includes credits each month ($25 on Solo, $50 on Practice, $100 on Agency). Beyond that, credits are billed at cost to the card on file, automatically, as long as you authorized it at checkout. If that card is declined, the assistant pauses until it is fixed. Your dashboard shows this month's credits.

Can I use my own branding?

Families see your agency name and contact details across their portal, emails and printed documents. You set these in your practice settings.

Is my clients' information kept separate from other advocates?

Yes. Each agency's families and records are separate from every other agency, and parents see only their own information.

Do I need credentials to use the platform?

CasePilot360 does not certify or endorse advocates. You are responsible for your own qualifications, your services, and following the laws that apply to your practice.

Is CasePilot360 a law firm or an advocacy agency?

No. CasePilot360 is a technology platform. It does not give legal advice or provide advocacy services, and using it does not create an attorney-client relationship.
